"It’s in the cloud."
Famous last words.
Last week someone on our team accidentally deleted our entire marketing pipeline in ActiveCampaign.
2,119 deals. 8 stages. Gone.
First call: ActiveCampaign support.
Their answer: "We’re sorry, pipelines can’t be restored once deleted."
…cool.
Here’s what saved us.
We run our own local mirror of our CRM data. Every deal, every stage, every custom field — synced to a database we control. We built it ourselves because we got tired of being at the mercy of whatever the SaaS vendor decided to show us.
When the pipeline disappeared, we still had everything.
We scanned all 2,119 deals against the AC API. Turns out AC doesn’t delete deals when you delete a pipeline — they just become isDisabled: true. Orphaned. Floating. Waiting.
2,032 of them were still there. Just lost.
We rebuilt the pipeline from an export we had archived months earlier. Exact stage names, colors, sort order. Then a script moved every orphaned deal back into the new pipeline, matched to its original stage.
20 minutes. 2,045 deals restored.
The 73 that were gone? Actually gone. 96.5% recovery on what looked like a total loss.
The lesson isn’t "don’t delete things."
The lesson is: your SaaS vendor is not your backup strategy.
Your CRM data is your business. Your contacts, your deals, your pipeline history — it doesn’t belong to you just because you pay for it. If the vendor has an outage, a bug, or someone on your team clicks the wrong button… you’re at their mercy.
Mirror your critical data.
Own a copy you can restore from.
"It’s in the cloud" means someone else is responsible. That’s not a backup. That’s hope.
You ever run into this? How are you protecting your CRM data?
